How to add the signature
- Gmail
- Settings (gear) → See all settings → General → Signature → Create new. Paste the signature into the box and click Save Changes at the bottom of the page.
- Outlook
- Settings → Accounts → Signatures → New signature. Paste the signature, choose it as the default for new messages and replies, then save.
- Apple Mail
- Mail → Settings → Signatures → +. Paste the signature and untick “Always match my default message font”.
Copy signature copies the signature with its formatting; paste it straight into your email program’s signature box. The HTML code is for programs that accept a signature as code.
One signature for the whole team
Keep the same layout and colour and change only the personal details to give everyone on the team the same signature. Whoever sends it, the recipient sees at a glance that the email comes from the same company.

In Gmail, click the gear at the top right, then See all settings. On the General tab, find Signature, click Create new, paste the signature and click Save Changes at the bottom of the page.

Email programs often block images embedded in a signature or send them as attachments. Use the address of the logo as it is published on your website (starting with https://); the recipient’s email program loads it from there. A PNG 160 pixels wide stays sharp on high-resolution screens.
